Maintain stock records
Record counts, review low stock, and apply deliberate invoice deductions.
Create a product
Where Stock is enabled on your eligible plan, an owner, admin or editor can open Stock and choose Add product. Save the product with 1 to 50 variants. Each variant has a name and may have a workspace-unique uppercase SKU. New quantities start at zero. Archived SKUs stay reserved.
Record a count
- Open an active variant and choose Record stock quantity.
- Enter the absolute whole-number count and a reason. For example, entering 12 records 12 on hand; it does not add 12 to the previous count.
- Review the before-and-after quantities and confirm. The change appears in Stock adjustment history.
- If another teammate changed the count, use Check current stock and Use current stock, then review again. For an uncertain write, Check saved stock change reads its saved result before any explicit same-request retry.
Counts are team records, not a warehouse check. They do not reserve products or synchronize an external shop. Archiving stops new changes while retaining saved history.
Watch for low stock
Where enabled, set Low-stock threshold (optional) and confirm Save low-stock threshold. Empty means Not watching; zero watches for an empty count. A positive count at or below the threshold is low stock. Open the Restock list to review saved low-stock items.
Personal low-stock email is a separate Settings preference with its own verified-address, feature and sender requirements. Changing a count does not send an immediate email. A saved preference is not proof of delivery.
Deduct a reviewed paid invoice once
An owner or admin with the required Stock and invoice capabilities can review an invoice currently recorded as paid by the team. For every line, choose an active variant or Does not track stock. Enter a reason and choose Review full stock deduction. Review every line and the aggregated before-and-after counts, then Apply stock deduction once.
Insufficient stock or a changed payment/count blocks the entire deduction. Each invoice can deduct only once, even after later payment corrections. Those corrections do not restore stock. Use saved-request and deduction-history controls for uncertain results. Any later count correction is an independent manual adjustment.
A separately enabled availability reply can disclose only an explicitly reviewed public label and saved-count status. It does not reserve an item. See the detailed Stock guide for publication and recovery steps.
