Prepare quotes and private invoices

Create a reviewed document, print it, and maintain team payment records.

Save a quote draft

  1. Where enabled, open Money and choose Prepare quote draft. Owners, admins and editors need the appropriate plan and feature access.
  2. Choose USD, EUR or GBP. Add descriptions, whole-number quantities and nonnegative prices with up to two decimal places. Changing currency keeps the numbers; it does not convert them.
  3. Optionally select a saved contact. Review up to 50 items with Preview quote draft.
  4. Choose Save quote draft separately. Previewing or saving does not finalize a document, send a message or calculate tax.

Finalize and print

An owner or admin first saves Business name and Business postal address with Save business details. These are supplied issuer details, not verified legal identity.

Open the saved draft, enter the customer details and choose Review saved quote. Review the frozen business, customer, items, currency and subtotal. Confirm, then Finalize quote. Unsaved edits are excluded. The permanent private snapshot has its own quote reference and UTC issue date; later draft edits do not rewrite it.

Use Finalized quote history, open the quote and choose Print / save as PDF. Your browser handles printing. There is no public document link or hosted PDF service.

Issue an invoice

From the finalized quote, enter optional payment instructions and a UTC due date. Choose Review invoice, confirm, then Issue invoice. One invoice is allowed per finalized quote. Its frozen contents do not change when the source draft, contact or business details change. Use Invoice history to open and print it.

Only an owner or admin can maintain the Current team payment record. Record paid in full records the team's check, not bank verification. Correct to unpaid requires a reason and preserves history. Neither action processes a payment; zero-total invoices cannot be marked paid.

Recover and share carefully

For uncertain saves, finalizations, issuance or payment changes, use that operation's saved-request check. A history receipt describes a past change; check the current record before relying on its status.

Optional one-recipient quote or invoice email requires separate Email delivery access and explicit sender/recipient/body review. Failed or uncertain dispatches must not be repeated as new requests. For full send and stock-deduction steps, see the detailed document guide and Stock.
